First User Set Up - Adding Coaches and Staff
The first step of your club onboarding is to add the coaches and staff who will use the app.
First User Set Up - How to Add Staff
On the Staff Setup screen, your current staff members are displayed as individual cards. Your own account will already be listed here and marked with a (YOU) tag.
To get started, click or tap the + (Add) card to open the staff creation options. You can add your team using three different methods:
Option 1: Invite Via Link/QR code
Best for quickly sharing an invite with staff who have immediate access to a phone or computer.
- Share or Show QR Code: Save the generated QR code image to your device to share digitally or print out for your facility.
- Copy Invite Link: Copy a unique registration link to paste directly into WhatsApp, email, or your team's group chats.
- How it works: When staff members scan the QR code or click the link, they will be prompted to create an account and be added to your club in the pending members list in Settings -> Club Members.
- NOTE: You will have to approve them once they submit their information.
Option 2: Upload Staff List (CSV)
Best for importing a large number of staff members all at once from an existing spreadsheet.
- Select Upload Staff List from the menu options.

- Download the provided CSV template to ensure your data format matches the system requirements.
- Fill out your staff members' details in the spreadsheet, then upload the file.
- Map the CSV columns to the required platform fields (Name and Email), then review the data preview for accuracy.
- Confirm the upload to view your import results, which will show which accounts were successfully created, skipped, or failed.
- If an upload failed this means the entry could not be processed, along with a reason for the specific issue (e.g., invalid email format).
Tip: If any entries fail during the import, you can fix the errors directly in your spreadsheet and re-upload the modified CSV file to try again.
Option 3: Manualluy Add Staff
Best for adding a few staff members individually or one at a time.
- Select the manual option and enter the staff member's Name and Email.
- Click + Add Another Staff to generate additional rows if you have more than one person to add.
- If you accidentally add an extra row, click the red - (minus) button to remove it.
- Once you have filled out the details, click Import [N] Staff Members to finalize
Managing Staff Overview
Once added, your staff directory will update to display all team members as cards.
- To Edit: Click the pencil icon on any staff card to update a member's name, email, or details.
- To Proceed: Click Continue at the bottom of the page when you are ready to move on to the next stage of your club onboarding.
